How do we collect information from you?
We collect and store personal and non-personal data that you may provide as part of booking tickets, making a purchase, becoming a member or via donation forms, e-news sign-ups, visitor surveys or in connection with a specific project or event. We may also collect photographs if you donate items or if you attend cultural or learning events organised by the Council.

Skate TW is run and managed by the Assembly Hall Theatre team.
We also participate in the Council’s GO Scheme and TW Social.
What types of information do we collect from you?
- Your full name, title and date of birth
- Postal address, email address and telephone number
- Ticket, merchandise and membership history
- Gift Aid status
- Payment card details
- Your contact and communication preferences
- Demographics
- CCTV images, if you visit any of our public buildings or Skate TW
- IP (internet protocol) addresses and cookies
- Web pages accessed and files downloaded
- Photographs
- We may also collect and store sensitive information relating to disability and access needs if you require specific access arrangements for the Theatre, or to register for our Access Scheme. This sensitive information will be held securely and only used for this limited purpose.
Why do we collect this information?
We collect information to provide a cultural facility to residents and visitors. We collect information during ticket purchasing (including Skate TW) and for Amelia Scott room bookings for the performance of a contract. We may occasionally need to contact you by email, letter or telephone about your purchase with us, such as confirming your order, in the case of a cancelled show or session, or should there be problems with your payment. We also collect information to send you marketing, and regarding collection donations with your explicit consent. We collect certain special category data for users of our Access Scheme, only with your explicit consent, which will not be used for marketing purposes. If you do not give us your personal information, we may be unable to provide a service to you.
We collect CCTV footage for a task in the public interest to ensure the safety and security of staff, customers and property.
What do we do with your information?
We will use your information to:
- Provide and improve our Culture Service.
- To send you newsletters and alerts about the culture service in accordance with the preferences you provided at the time of signing up.
- Handle and deliver orders and communicate with you about them.
- Provide a personalised service to you when you visit our website. This could include customising the content and/or layout of our pages for individual users.
- Record any contact we have with you.
- Prevent or detect fraud or abuses of our website and enable third parties to carry out technical, logistical or other functions on our behalf in relation to prevention and detention.
- Carry out research and analysis of data to improve our customer experience, marketing and sales activities. This may include customer profiling and may be undertaken by third-party organisations.
- We may hold information relating to requests for a VIP event you have paid for. We will only share your details with the provider with your consent .
- We may ask if you would like your data to be shared with another organisation, such as a visiting theatre company or event organiser. We only do this if you give us your active consent.
Who has access to your information?
Mid Kent ICT Partnership stores your information on our behalf.
Kent County Council has access to your library information when you use the library at The Amelia Scott. You can view their privacy information on the Kent County Council website.
We may ask you if you would like your data to be shared with another organisation, such as a visiting theatre company or event organiser. We only do this if you give us your active consent.
Our software providers may also store your information, but only on our instructions. They won’t use it for any other reasons, and they have to look after it in the same way we would. You can view their privacy information here:

To undertake our business activities, we will sometimes share your information with third parties such as our database and IT providers and our mailing house and survey company, which may handle our direct postal or e-mail communications with you. - only use the information for the purposes it was supplied

What are your rights in relation to the personal data we process?
- Access – you can request copies of any of your personal information that is held by the Council.
- Rectification – you can ask us to correct any incorrect information.
- Deletion – you can ask us to delete your personal information. The Council can refuse to delete information if we have a lawful reason to keep this.
- Portability – you can ask us to transfer your personal data to different services or to you.
- Right to object or restrict processing – you have the right to object to how your data is being used and how it is going to be used in the future.
- Right to prevent automatic decisions – you have to challenge a decision that affects you that has been made automatically without human intervention, for example an online form with an instant decision.
How long will we keep your information for?
We will only keep your information for as long as we need it. Once we no longer need it, we will keep it for a set period (a retention period) but not use it. When the retention period expires we will delete your information from our records. View our Retention Schedule on request.

We are strongly committed to data security and will take reasonable and appropriate steps to protect your personal information from unauthorised access, loss, misuse, alteration or corruption. We have put in place physical, electronic, and managerial procedures to safeguard the information you provide to us.
